Abstract

How can this operating challenge become an adoptable, measurable and sustainable system?

Teams needed to gather links, text, notes and tasks for each project without multiplying documents. We built a one-page project mural with blocks, columns, member permissions and collaborative editing. Every project has visible context and one place to organize shared work.

01
Business problem

Context and intervention hypothesis

Context

Teams needed to gather links, text, notes and tasks for each project without multiplying documents.

Hypothesis

We built a one-page project mural with blocks, columns, member permissions and collaborative editing.

02
Method

How the system was approached

  1. 01

Observation of the current workflow and its friction points.

  2. 02

Definition of users, decisions, rules and exceptions.

  3. 03

Progressive design of the experience and critical modules.

  4. 04

    Operational validation before expanding scope.

03
Functional architecture

Four layers to operate and scale

01

Experience

Flows, roles, states and actions visible to each user.

02

Logic

Business rules, validations, exceptions and automation.

03

Integration

Connected data, external services and existing systems.

04

Operation

Traceability, ownership, monitoring and continuous improvement.

04
Findings

Technical and business implications

01

Bloques became an operating capability of the system.

02

Columnas became an operating capability of the system.

03

Permisos became an operating capability of the system.

04

Tareas became an operating capability of the system.

05
Measurement framework

Indicators for validating impact

AdoptionWorkflow use by role and stage
Cycle timeProcess duration from start to close
ExceptionsCases requiring manual intervention

Monitoring indicators are shown, not invented figures. Quantitative client data remains confidential.

06
Risk and control
  • Automation requires clear owners for exceptions and change.
  • Outcome quality depends on input data quality and discipline.
Conclusion

Strategic outcome

Every project has visible context and one place to organize shared work.
